Five questions to answer before you automate.
Look for work that is high in volume, follows a recognizable pattern, and does not require deep judgment every time, such as answering common customer questions, routing messages, summarizing information, checking status, or moving data between systems. If the same question or task comes up dozens of times a week and the answer rarely changes, it's usually a strong candidate.
An agent is only as useful as the knowledge and data it can reach, including product or service details, pricing logic, policies, past conversation history, or records in systems like Odoo. Before launch, map out which of that information already exists in a usable form, and which needs to be organized first.
Not everything should run unattended. Consider what happens if the agent misunderstands a request, gives an outdated answer, or is asked something outside its scope. Good automation is designed with fallbacks: a clear handoff to a human, guardrails on what the agent is allowed to say or do, and monitoring so issues are caught early rather than discovered by a customer.
Decide what "working" looks like before you launch: faster response times, fewer repetitive tickets reaching your team, more consistent answers, or measurable time saved. Without a baseline and a target, it's hard to know whether the automation is actually creating value or just adding complexity.
